1. Introduction
Influx Technologies AI LLC ("Influx," "we," "us," or "our") provides AI-powered patient recall, reactivation, and revenue recovery services for dental practices. This Privacy Policy describes how we collect, use, disclose, and protect information in connection with our services.
We are committed to protecting the privacy and security of all personal information and protected health information (PHI) we process on behalf of our dental practice clients.
2. Information We Collect
We may collect and process the following categories of information:
Information Provided by Dental Practices:
Patient names, phone numbers, and email addresses; appointment history and scheduling data; treatment and billing records; insurance information; and other data transmitted through practice management system (PMS) integrations.
Information Collected Automatically:
SMS delivery and response data; call metadata (duration, timestamps, routing); system logs and usage analytics; and device and browser information when visiting our website.
Information You Provide Directly:
Contact information submitted through our website and communications with our team.
3. How We Use Information
We use the information we collect to deliver patient recall, reactivation, and scheduling services on behalf of dental practices; send SMS messages and place calls to patients as authorized by the dental practice; integrate with practice management systems to synchronize patient and appointment data; improve, maintain, and troubleshoot our platform; comply with legal and regulatory obligations, including HIPAA; and communicate with dental practice clients about their accounts and our services.
4. HIPAA Compliance
Influx Technologies AI operates as a Business Associate under the Health Insurance Portability and Accountability Act (HIPAA). We process protected health information (PHI) only as directed by our dental practice clients (Covered Entities) and in accordance with executed Business Associate Agreements (BAAs).
We implement administrative, physical, and technical safeguards to protect PHI, including encryption of data in transit and at rest, access controls and authentication requirements, audit logging and monitoring, employee and contractor training on HIPAA obligations, and incident response and breach notification procedures.
5.) How We Share Information
We do not sell personal information or PHI. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All of the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
We may share information with:
Dental Practice Clients: We process patient data on behalf of dental practices and provide reporting and analytics back to those practices.
Service Providers: We use third-party services (including cloud hosting, SMS delivery, and telephony providers) that process data on our behalf under appropriate agreements and safeguards. These providers are contractually prohibited from using your information for their own marketing purposes.
Legal Compliance: We may disclose information when required by law, regulation, legal process, or governmental request.
Business Transfers: In the event of a merger, acquisition, or sale of assets, information may be transferred as part of that transaction.
6. Data Retention
We retain personal information and PHI only for as long as necessary to fulfill the purposes described in this policy, comply with our contractual obligations with dental practice clients, and meet legal and regulatory requirements. When data is no longer needed, we securely delete or de-identify it.
7. Data Security
We implement industry-standard security measures to protect information against unauthorized access, alteration, disclosure, or destruction. These measures include encryption, access controls, secure infrastructure, and regular security assessments. However, no method of electronic transmission or storage is 100% secure, and we cannot guarantee absolute security.
8. Your Rights
Depending on your jurisdiction, you may have the right to access the personal information we hold about you, request correction of inaccurate information, request deletion of your information, opt out of SMS communications by replying STOP to any message, and lodge a complaint with a data protection authority.
If you are a patient of one of our dental practice clients, please contact your dental practice directly regarding access to or deletion of your health information, as they are the data controller for your PHI.
9. SMS Communications
Influx sends SMS messages to patients on behalf of dental practices for appointment reminders, recall notifications, and scheduling purposes. By receiving messages through our platform: message frequency varies based on your dental practice's recall schedule; message and data rates may apply; reply STOP to opt out of messages at any time; reply HELP for assistance; and consent to receive messages is obtained by the dental practice, not by Influx directly.
10. Third-Party Links
Our website or communications may contain links to third-party websites. We are not responsible for the privacy practices of those websites and encourage you to review their privacy policies.
11. Children's Privacy
Our services are not directed at individuals under the age of 13, and we do not knowingly collect personal information from children under 13. Patient data for minors is provided and managed by the dental practice in accordance with applicable law.
12. Changes to This Policy
We may update this Privacy Policy from time to time. We will post the updated version on this page and update the "Last Updated" date. Continued use of our services after changes constitutes acceptance of the revised policy.
